Website software SSL encryption: Our website is developed mostly with our own software and partly with an existing content management system. Personal data provided by you for our services is not shared with other parties except the hosting provider (Hostnet). The hosting provider only has access to your data to provide technical support. We will never use your data for another purpose. Based on the agreement we have with them, we are obligated to take appropriate security measures. These security measures include the use of SSL encryption, a strong password policy, and secure data storage.
Web hosting and email: We use web hosting and email services from Hostnet. Hostnet processes personal data on our behalf and does not use your data for its own purposes. However, this party may collect metadata about the use of the services, which are not personal data. We have implemented suitable technical and organizational measures to prevent loss and unauthorized use of your personal data. Hostnet is bound by confidentiality under the agreement. Our website also uses Hostnet for handling email traffic from our website and sending any newsletters. Confirmation emails you receive from our website and web forms are sent via Hostnet servers. Payment transactions Mollie: For handling (part of) the payments on our website, we use the platform of Mollie.com. Invoicing and accounting E-Boekhouden.nl: We use an online service for administration or invoicing. For handling (part of) the payments for our services, we use the platform of E-Boekhouden.nl. E-Boekhouden.nl processes your name, address, and residence details, as well as your payment details. E-Boekhouden.nl has implemented suitable technical and organizational measures to protect your personal data. We will not retain your data longer than legally allowed based on applicable terms.
SVH exams: Our exams are conducted by the hospitality industry-recognized Stichting Vakbekwaamheid Horeca (SVH). For correctly processing the industry-recognized SVH diplomas, we use the SVH.nl platform. SVH processes your name, address, residence details, place of birth, and date of birth. SVH has implemented suitable technical and organizational measures to protect your personal data. We will not retain your data longer than legally allowed based on applicable terms.
Automatically collected data: Data automatically collected by our website is processed to further improve our services. This data (such as IP address, web browser, and operating system) is not personal data. Collection of this data for website statistics is collected by Google Analytics in private mode.
Cooperation in fiscal and criminal investigations: In certain cases, we may be required under a legal obligation to share data in connection with fiscal or criminal investigations by the authorities. In such a case, we are obliged to share your data, but we will resist to the extent possible within the limits of the law.
Retention periods: We retain your data as long as you are our client. This means that we keep your client profile until you indicate that you no longer wish to use our services. If you indicate this to us, we will also consider it as a request to be forgotten. Based on applicable administrative obligations, we are required to retain invoices with your (personal) data, which we will legally retain for the duration of the applicable term. However, employees no longer have access to your client profile and documents we have produced based on your request.

You can make a request to our privacy contact person for this purpose. You will receive a response to your request within 30 days. If your request is granted, we will send you a copy of all data with an overview of the processors who have these data under their control, indicating the category under which we have stored these data.
Right to Data Portability: You always have the right to have the data that we process and that pertains to you or can be traced back to you, transferred to another party. You can make a request with that purpose to our privacy contact person. You will receive a response to your request within 30 days. If your request is granted, we will send you copies or excerpts of all data about you that we have processed or that has been processed on our behalf by other processors or third parties. In all likelihood, if such a request is fulfilled, WTOL Academy BV may no longer be able to continue its services because the secure linkage of data files can no longer be guaranteed.
